Executive Assistant & Development Associate

 

The Microcredit Summit Campaign (“the Campaign”), a project of RESULTS Educational Fund (REF), is a global anti-poverty movement seeking to reach 175 million of the world’s poorest families with microfinance and other services and to help 100 million families lift themselves out of severe poverty.

 

The Campaign is currently seeking a dynamic, hands-on Executive Assistant & Development Associate to support the Campaign’s projects as we work to attain our goals. The Executive Assistant & Development Associate will have two main areas of responsibilities including providing support for the Campaign’s donor development outreach as well as in providing the administrative and financial processing support particularly as pertains to the Campaign’s budgeting, financial tracking, vendor interactions, grant reporting and management, and fundraising.

 

Campaign Executive Assistance Responsibilities: (70%)

  1. Liaising with REF’s bookkeeping and Director of Finance, executing approved check and wire requests, reimbursement requests, and credit card expense reporting. 
  2. Drafting and monitoring the Campaign’s annual budget in close coordination with the Campaign Director, Program Mangers, and REF’s Director of Finance.
  3. Tracking the Campaign’s actual spending throughout the year against the budget and reporting to the Director on a regular basis. Scheduling and performing monthly budget review meetings with Program Managers.
  4. Reviewing Contracts and MoUs, tracking payment dates, and initiating all Campaign payments (checks or wire transfers) to vendors. Managing phone/mail correspondence with vendors.
  5. Assisting the Program Managers with reviewing resumes, setting up interviews, and sending offer letters to Campaign staff and interns. Providing orientations for new interns and staff and helping them get set up. Coordinating building and office access for interns and staff with REF Office Manager.
  6. Scheduling and arranging executive meetings, appointments and travel plans, and assisting with the preparation of documents, correspondence and presentations.
  7. Managing the Campaign office, which includes the purchase and stocking of office supplies for staff, processing incoming book orders and shipments, handling incoming/outgoing mail, managing storage space (off-site and internal) and office space allocation issues, and liaising with REF Office Manager and I.T. support.
  8. Managing Campaign virtual resources, including the Campaign’s Skype business account, online file system, and project management online platform.
  9. Providing assistance and management support for Campaign special events.

 

Development Support Responsibilities: (30%)

  1. Developing an implementation plan for growing the Campaign’s individual donor base through our donor management system.
  2. Providing regular reports to the director about individual donor contributions and provide recommendations on further expansion.
  3. Preparing an annual donor mailing (with the Campaign Director) and monthly thank-you letters to donors (with REF’s Office Manager).
  4. Providing support to the Campaign Director in cross-program fundraising activities and development of competitive fundraising proposals and concept notes.
  5. Conduct research on donor prospects or new business opportunities.
  6. Assist in the creation of a grants tracker to monitor grant spending and donor prospects.
  7. Assist the Campaign’s Grants Associate in the drafting, revision, and submission of grant reports and in keeping the grants tracker current.

 

Qualifications:

  • At least 2 years of experience providing top-level financial and administrative support in a fast-paced environment, preferably within the field of international development.
  • Experience providing assistance and support to senior-level staff, especially as pertains to managing calendar and correspondence of senior-level staff.
  • Demonstrated experience in tracking grant-related details such as reporting, spending, and applying.
  • Superior administrative capacity to manage details and deadlines associated with multiple projects with minimal oversight.
  • Proven ability to develop processes and systems and create efficiencies in managing administrative backstopping for diverse program areas.
  • Demonstrated past experience in financial tracking of program expenditures and budget management.
  • Demonstrated ability to develop positive and reinforcing working relationships and work closely as part of a small, dedicated team.
  • Adept at providing quality customer-service to a variety of constituencies.
  • High level of proficiency with Microsoft Office, including Word, XLS, PPT, and Outlook.
  • Comfort working with databases (including funder tracking and management software).
  • Excellent written and oral communication skills in English are necessary; proficiency in Spanish and/or French are preferred.
